Heatseeker Hot Sauce Festival
Presented by Halo Heats

Heatseeker Hot Sauce Festival is the first of its kind in Windsor, Ontario. This festival will showcase up to 25 hot sauce makers from across Southwestern Ontario and invite hot sauce enthusiasts from across Windsor-Essex County to sample, shop, interact with makers, enjoy good food, drinks and entertainment, and kick off the summer with a bang!

As the owners of Halo Heats, and the producers of this event, we can’t wait to welcome you to our beautiful city!

Please read the following form and complete it in its entirety.

Date: Saturday, May 13th, 2023

Event Time: 12:00 pm – 8:00 pm

Location: Pelissier Parking Garage (Ground Level)

Set Up Time: 8:00 am – 11:30 am

Tear Down Time: 8:00 pm
*Vendors must remove all belongings and garbage from their vendor space – nothing is to be left behind.

After Party: Details will be shared with accepted vendors in the coming weeks.

NOTES
Parking is available on an upper levels of the parking garage.
As we are in the ground level of a parking structure, there is shelter over the entire event space. However, we encourage you to set up under a 10x10 tent so all vendors have a visually distinctive space.

*There are ONLY 25 hot sauce vendor spaces available.

Applications will remain open until April 8th or until spaces are sold out – whichever comes first.

EARLY BIRD FEE $150 + HST (for applications submitted by March 13th)
STANDARD FEE $175 + HST (for applications submitted on or after March 13th)

All vendor fees include:
Up to three vendor passes
Graphics to share on social media
Logo on event website and various social media posts in promotion of the event
Invitation to the Heatseeker Hot Sauce Festival After Party

Payment: All payments must be made by e-transfer to orders [email protected] and sent with application.

Early Bird Fee: $150 + HST = $169.50
Standard Fee: $175 + HST = $197.75

*All vendor fees are NON-REFUNDABLE, unless the event is canceled due to an act of nature.

All vendors must submit proof of liability insurance for two million dollars to the event producers with completed vendor application. Proof of insurance can be emailed to [email protected].

Vendors are permitted to sample all of their products. All samples must be produced in a commercial kitchen and adhere to local health unit guidelines.

Please read carefully.
Sign at the bottom indicating that you understand and agree to these terms and conditions.

Vendors are required to bring their own tent, table(s), chair(s), hand wash station ( spigot/pail, and garbage (for sampling sticks/spoons).
Vendors are responsible for their belongings, products and merchandise for the entirety of the event.
Vendors are to provide visible and attractive signage, clearly indicating their brand name, products for sale, and pricing.
All products must have been produced in a certified commercial kitchen and be packaged in accordance with Windsor-Essex County Health Unit standards.
Vendors must produce certification from their local health unit on site.
The producers of this event are not liable for any accident(s) or fine(s) that the vendor receives.
Business license and insurance is the responsibility of the vendor.
Smoking is prohibited within the event space.
Children of vendors must be supervised at all times.
Vendor location will be determined by the event producers. Special requests will be taken into
consideration.
Vendors are not permitted to tear down their spaces until 8:00 pm.
Vendors keep 100% of their sales and determine their own prices.
Vendor spaces must be staffed at all times during the event.
Vendors are not permitted to share/sublet vendor spaces.

Photo & Advertising Release
The vendor agrees to permit Heatseeker Hot Sauce Festival to use any photos or videos taken before, during or after the event, and do hereby relinquish rights to any photos or videos taken in connection with Heatseeker Hot Sauce Festival. All advertising rights reserved by Heatseeker Hot Sauce Festival.

Liability
I hereby release and forever discharge and hold harmless Heatseeker Hot Sauce Festival, the City of Windsor, Windsor Police Services, Province of Ontario and their officers, directors, employees, agents, representatives and servants and anyone else connected with management or presentation of Heatseeker Hot Sauce Festival from any and all liability, claims, demands, and causes of action, of whatever kind of nature, either in law or equity, which may hereafter arise from my participation in the Heatseeker Hot Sauce Festival and/or any project, activity, or event sponsored, managed, arranged, or promoted by, or otherwise affiliated or associated with Heatseeker Hot Sauce Festival.

I understand and acknowledge that this Release discharges Heatseeker Hot Sauce Festival from any liability or claim that I may have against Heatseeker Hot Sauce Festival, with respect to any bodily or other injury, illness, death, or property damage that may result from my participation. I also understand that Heatseeker Hot Sauce Festival does not assume any responsibility or obligation to provide financial assistance or other assistance, including, but not limited to, medical, health, or disability insurance, in the event of injury, illness, death, or property damage.

I expressly understand and agree that this Release is intended to be as broad and inclusive as permitted by law, and that this Release shall be governed by and interpreted in accordance with the laws of the City of Windsor and Province of Ontario.

The Heatseeker Hot Sauce Festival will do everything to ensure a successful event. We ask that you please do the same and respect all safety and health regulations.

Vendors must be 19 years of age. If under 19 years of age, parents or legal guardian must sign below.

This form must be signed PRIOR to participation in the event.

I am the vendor and I have read, understand and agree with the information provided in this form and will comply with the terms and conditions set out by Heatseeker Hot Sauce Festival.
